This Privacy Policy describes how ScribeChrono collects, uses, protects, and shares personal data of its users (“User,” “you”) when you use the ScribeChrono.com service (the “Service”).
Protecting your privacy and the confidentiality of your data is foundational to our infrastructure. ScribeChrono is built on privacy by design, minimizing the data that transits our servers.
1. Distributed privacy architecture
Unlike traditional transcription services, ScribeChrono uses a hybrid edge processing architecture.
Browser-side preparation of large media
Some media workflows, including the preparation of large videos, extract or process audio in your browser before sending it for transcription. Other upload flows send a selected audio or media file to ScribeChrono storage and processing services.
Data minimization
Depending on the upload workflow, ScribeChrono may receive selected media files or extracted audio, associated file information, and the resulting transcript. Voices and transcript text may contain personal or confidential information; extracting audio does not make it anonymous.
2. Data we collect
To perform our contractual obligations and provide the Service, we process the following categories:
- Account and billing data — email address, encrypted credentials, payment information (processed securely by PCI-DSS compliant providers, not stored on our servers).
- Transcription data — selected audio or media uploads, file names, generated transcripts, timestamps, and speaker labels. Files and results may be retained in your account history until deleted.
- Technical and usage data — IP address, browser type, service usage, error logs, and performance information for security, troubleshooting, and service operation.
2A. Google Docs add-on: Google API permissions and data use
The ScribeChrono Google Docs add-on helps you transcribe audio or video you choose and insert the resulting text into your currently open Google document. It is not a Google Drive file-search or document-scanning service.
- documents.currentonly: the add-on accesses the document currently open in Google Docs to write transcription text only when you request insertion. It does not list or read unrelated Google Drive documents.
- script.container.ui: displays ScribeChrono's dialog within Google Docs.
- script.external_request: communicates with ScribeChrono's services for sign-in, account information, transcription and history.
- userinfo.email and userinfo.profile: supports Google-account identity verification and account linking. When you choose Google sign-in through the add-on, a Google access token is sent to ScribeChrono's server and used to request identity information from Google's userinfo service. Your email address and, when available, name and profile image may be linked to your ScribeChrono account.
Audio or video that you explicitly select for transcription is processed separately from Google Docs content. Depending on the workflow, uploaded media or extracted audio can be stored in Cloudflare object storage, and file metadata and generated transcripts in the account database. Audio may be transmitted to a configured speech-to-text processing provider. The add-on does not routinely send the text of your Google document to AI transcription services.
The add-on uses an account session token stored in your Apps Script user properties to keep you connected to ScribeChrono. You can revoke Google's authorization in your Google Account permissions and request deletion of ScribeChrono account data by contacting privacy@scribechrono.com. Revoking Google's authorization alone does not automatically delete stored transcription history.
Information received from Google APIs is used to provide the add-on's user-requested features and account authentication, not for targeted advertising, data brokerage or training generalized AI models. We do not sell Google user data. These practices are intended to comply with the Google API Services User Data Policy, including Limited Use requirements.
3. How we use data (purposes and legal bases)
We process personal data only on the following legal bases (GDPR Article 6):
- Contract performance — providing transcription, account management, and customer support.
- Legitimate interest — securing infrastructure against fraud and abuse, improving technical performance.
- Legal obligation — accounting and tax requirements.
Firm commitment: ScribeChrono does not sell, rent, or commercialize your personal data or transcribed content to third parties under any circumstances.
4. Sharing with infrastructure and AI processing providers
ScribeChrono uses Cloudflare infrastructure for application delivery, database and object storage, and may use Cloudflare Workers AI or external speech-processing services such as OpenRouter, depending on the selected transcription route. Relevant audio content is transmitted to the selected provider to produce a transcript. Provider-specific storage, access and retention terms apply.
Retention by AI providers
Do not assume that every processing provider offers zero data retention. Temporary processing copies, security logs or service records may be retained under the provider's applicable terms. Contact privacy@scribechrono.com if you need details about a particular transcription route before uploading sensitive content.
Use of content for AI model training
ScribeChrono does not use your submitted audio or transcripts to train its own general-purpose AI models. External processing providers operate under their own data processing terms; contact us for details about the provider used for a specific route.
5. International data transfers
ScribeChrono operates globally. For users in the European Economic Area (EEA) or United Kingdom, transfers to third countries (including the United States) rely on appropriate safeguards, including:
- European Commission Standard Contractual Clauses (SCCs);
- the EU–US Data Privacy Framework or equivalent adequate certification mechanisms.
6. Security and retention
Encryption
Connections to ScribeChrono use HTTPS/TLS. Uploaded files and transcripts are stored with access controls on our cloud infrastructure; the encryption and retention controls of individual storage services follow their respective provider configurations.
Retention period
- Uploaded content, file metadata and transcription history may be retained with your account so that you can access past results.
- You can delete available items from your dashboard or request removal through privacy@scribechrono.com.
- Account-deletion requests are processed in accordance with applicable requirements. Residual operational or backup copies may persist for limited periods where required for security, recovery or legal obligations; contact us for details.
7. Your rights (GDPR, CCPA, LGPD)
Depending on your jurisdiction, you may have the following rights:
- Access and portability — obtain a copy of data we hold about you.
- Rectification and erasure — correct inaccurate data or request permanent account deletion.
- Restriction and objection — limit or object to certain processing.
- California residents (CCPA) — right to know what data is collected; ScribeChrono does not “sell” your data (Do Not Sell).
We respond to privacy requests within the periods required by applicable law.
8. Children
The Service is not intended for anyone under thirteen (13) years of age (or the applicable age of consent in your jurisdiction). We do not knowingly collect data from minors. If such processing is discovered, the data will be deleted immediately.
